Terms of Hire
the B. lounge – Venue Hire Agreement (Updated 06/01/2026)
These Terms of Hire set out the conditions for hiring the B. lounge (hereinafter referred to as "the Venue"). By booking the Venue, the Hirer agrees to comply with the following terms and conditions.
1. DEFINITIONS
The Venue – The B. Lounge, including all rooms, outdoor spaces, and facilities provided as part of the hire.
The Hirer – The individual, company, or organisation booking the Venue.
The Management – The owners and operators of The B. lounge.
Event – The purpose for which the Hirer is hiring the Venue.
Hire Period – The agreed time and date for which the Venue is booked.
2. BOOKING & PAYMENT
2.1. A non-refundable deposit of 50% of the total hire fee is required to secure the booking.
2.2. The remaining balance must be paid 7 days before the event date. Failure to make payment may result in cancellation.
2.3. A refundable security deposit of £120 is required before the event to cover damages, breakages or extra cleaning. This will be refunded within 7 days after the event, provided no issues arise.
2.4. The Venue is booked for the agreed Hire Period only. Additional hours will be charged at £80 per hour for any additional hours before midnight and £100 an hour for any additional hours after midnight.
3. CANCELLATIONS & REFUNDS
3.1. If the Hirer cancels the booking 28 days or more before the event there will be a 100% refund minus a £25 fee. If the Hirer cancels the booking less than 28 days before the event there will be a 50% refund. If the Hirer cancels the booking less than 14 days before the event there will be no refund.
3.2. The Management reserves the right to cancel bookings due to unforeseen circumstances (e.g., safety concerns, force majeure). A full refund or alternative date will be offered.
4. USE OF THE VENUE
4.1. The Hirer is responsible for ensuring the Venue is used safely and appropriately.
4.2. The Venue must not be used for illegal, immoral, or offensive activities.
4.3. The maximum capacity of 90 persons must not be exceeded. We reserve the right to cancel any event that exceeds this number of guests.
4.4. The Hirer must not make any structural or decorative changes to the Venue without prior consent.
4A. ACCESS & SETUP/PACK-DOWN TIME
Access to the Venue is strictly limited to the agreed Hire Period. Any time required for setting up or packing down must be included within the booked hours. Early access or late departure without prior written permission will incur additional charges and/or result in the loss of the security deposit. The Venue cannot permit early entry or next-day collection unless agreed in advance. We kindly ask that all guests leave the venue promptly at the end of the hire period. If this is not adhered to, the deposit may be retained. Deposits are refundable subject to this condition being met.
4B. DECORATIONS & WALL FIXTURES
The use of nails, screws, pins, adhesive tapes, glue, or any materials that may damage the walls, floors, ceilings, or fixtures is strictly prohibited. The Hirer will be liable for any repair costs incurred due to damage caused by unauthorised fixtures or decorations. Please use only freestanding decor or non-damaging alternatives with prior approval from Management.
5. HEALTH & SAFETY
5.1. The Hirer must comply with all health and safety regulations.
5.2. Open flames, fireworks, and hazardous materials are strictly prohibited unless agreed in writing. Candles on birthday cakes are permitted and candlesticks on tables with protective covers are permitted; however, under no circumstances are flares or sparklers allowed within the venue.
5.3. The Hirer must ensure safe crowd management, especially for large events.
5.4. All electrical equipment brought into the Venue must be PAT-tested and safe for use.
5.5. The Management is not responsible for any injuries sustained during the event.
5.6. Smoking & Vaping Policy
Smoking and vaping are not permitted anywhere inside the Venue. Failure to comply with this will result in an immediate shutdown of your event. Designated outdoor smoking areas are provided. The Hirer must ensure guests dispose of cigarette waste responsibly. Failure to comply may result in a deduction from the deposit and/or termination of the event.
5.7. Children under the age of 16 must be supervised by a responsible adult for the duration of your event. The Management accepts no responsibility for accidents, injuries, or damage resulting from unsupervised minors during the Hire Period.
6. ALCOHOL & CATERING
6.1. Alcohol can only be sold if the Hirer has the relevant licenses. Proof of licensing must be provided.
6.2. External catering and beverages are allowed.
6.3. The Hirer is responsible for ensuring guests consume alcohol responsibly. The Management reserves the right to stop service if necessary.
6.4. If alcohol is found to be sold during your event without the relevant licenses and permission, your event will be immediately cancelled and with no refunds.
7. NOISE & DISTURBANCE
7.1. Music and amplified sound must comply with local noise regulations.
7.2. The Management reserves the right to lower the volume or stop music if complaints arise. Music must be lowered slightly after 11pm.
7.3. The Hirer must ensure guests leave the Venue quietly to avoid disturbing neighbours.
7.4. The Hirer agrees to our strict congregation rule prohibiting guests congregating outside the venue
8. CLEANING & DAMAGE
8.1. The Venue must be left in the same condition as found.
8.2. Rubbish must be disposed of in designated bins. Extra cleaning costs may be deducted from the security deposit.
8.3. Any damage to the Venue, furniture, fixtures or equipment must be reported immediately. The Hirer is liable for repair or replacement costs should there be any damage or disrepair to the Venue, furniture, fixtures or equipment.
8.4 Any damage to the Venue or should the Hirer be unhappy with any aspect of the venue, this must be reported by telephone, text message or by email to the Management within 30 minutes of arriving at the Venue.
8.5. Clean-Up Responsibilities for All Hirers
All food and drink must be disposed of at the end of the event.
Paper plates, cups, napkins, leftover food, and general waste must be placed into the provided bins.
All bins must be emptied and rubbish placed outside in the designated area before leaving the Venue.
If rubbish or food waste is left behind, a cleaning fee will be deducted from your deposit. All external vendors must collect their items and vacate the premises by the agreed hire end time. Failure to do so will result in loss of deposit.
We cannot store items from external vendors unless this has been arranged and agreed upon in advance.
Due to our event schedule, re-entry or next-day collection is not permitted unless previously arranged.
8.6. If the Hirer Is Bringing Their Own Decor
You or your decor vendor must remove all props and decorations by the end of your hire period. Balloons must be popped and disposed of before leaving the Venue.
Any decor left behind will be disposed of or charged for and may result in loss of deposit. Please ensure you allow enough pack-down time within your booking.
8.7. If Decor Is Provided by The B Lounge
You do not need to remove, pop, or pack down any of the decor provided by our team. Our team will handle all decor clean-up related to items supplied by us.
9. NO CONFETTI POLICY
To maintain the cleanliness and safety of our venue and to avoid damage to our property, the use of confetti, glitter or any loose small decorative particles is strictly prohibited during all events and on our premises. Failure to comply with this policy will result in the forfeiture of the damages deposit and the hirer may incur additional cleaning charges. This includes both indoor and outdoor areas.
10. LIABILITY & INSURANCE
10.1. The Management is not responsible for loss, theft, or damage to personal property.
10.2. The Hirer is advised to have public liability insurance for their event.
10.3. The Management is not liable for cancellations due to unforeseen circumstances beyond its control.
11. PARKING & LOADING
Parking is not guaranteed and is subject to availability. Loading and unloading of equipment and decor is permitted during the Hire Period only and must not block neighbouring access points or entrances. The Venue accepts no responsibility for fines or damage to vehicles parked near or on the premises.
12. SECURITY & STAFFING
12.1. Security may be required for certain events (e.g., large gatherings, late-night events). There is a charge of £40 per hour due to the Hirer for security if requested by the Management.
12.2. Venue staff will be on-site to oversee the event, but the Hirer is responsible for guest conduct.
13. TERMINATION
The Management reserves the right to terminate the event immediately if: The Hirer violates these terms, if there is excessive noise, damage, or unruly behaviour or if any illegal activities take place.
No refunds will be issued if termination occurs due to the Hirer’s breach of contract.
